These terms are here to make your project run smoothly. They’re designed to be fair, practical, and beneficial for both sides. We’ve added context so you understand not just what each term means, but why it exists.
Access & Permits
You already have the local team, business setup, and relationships to secure access and permits for your location. That makes it easier and more cost-effective for you to handle this part.
Of course, if you need help, we’re happy to coordinate with your team. We just ask that you assist with access and permits since you’re already on the ground and have long standing professional or monetary relationships on location.
Tip:
- For hotels, the best contact is usually the Operations or Marketing team.
- For retail, reach out to your Marketing department.
Shoot Conditions (As-Is)
Corporations often have multiple departments involved from Marketing, Sales, Operations, to Visual Merchandising, and more. We always do our best to follow brand guidelines, and we’ve handled hundreds of shoots over the years.
That said, we can’t control last-minute decisions made locally. If you’re not present during the shoot, you agree to accept the images as-is. We’ll accommodate changes in post-production when possible, but some things may be out of scope.
Refunds
Since every shoot is custom and the final product is digital, refunds aren’t possible once the files are delivered.
That said, we’ve never had a refund request in over 15 years. This clause is mostly here for clarity and legal protection.
File Backup & Delivery
We archive your proofed images for 14 days after delivery. After that, they’re deleted.
Why? Because a single project can include thousands of images and post-production files and are often totaling 50 to 500 GB. Multiply that by several projects a month, and the data storage becomes enormous.
We don’t charge for storage, so we ask that you download and back up your files promptly. If you need more time, just let us know—we’re always happy to accommodate.
Force Majeure
This clause just in case that the unexpected happens, like illness, natural disasters, travel cancellations, or equipment failure.
We’ve never had to use it, but it’s standard in contracts. If something truly out of our control affects the shoot, we’ll work with you to reschedule or find a solution.
Post-Production & Editing
Our editing includes color correction, exposure, contrast, and general image refinement.
Major changes—like removing speakers from a day club across 20 images, or changing furniture textures in a retail store—require extra time and may incur additional costs.
We always try to accommodate client requests, but some edits can take hours per image and may not be feasible without additional payment.
Revisions: You’re entitled to one round of revisions, which must be submitted within 14 days of image delivery.
Tip: Create a shared document for all stakeholders to submit feedback. This helps consolidate input and speeds up the process.
Photo License
Standard Photo License Includes:
- Website
- Social media
- Editorial
- Digital ads
- Email marketing
- PR
- Internal corporate use
- Digital catalogs and books
It excludes paid print advertising and billboards.
Why do we license photos this way? Because different clients have different needs. A brand using images on their website shouldn’t pay the same as one launching a multimillion-dollar global campaign.
Commercial Photo License
If you need extended rights, we’ll work with you to set up a commercial license that fits your goals.
Typically commercial photo licenses allow you to use the images in print ads, billboards, international campaigns, or sold content like books or souvenirs
Buy-Out License
this license is not that common, and typically hotels use this when they don’t want to discuss future use or they want to extend the usage all everyone who can support their business, this typically double the cost as it prevents the creators selling further licenses which you can read about bellow. with that said we are here to support you business so we can discuss any license need.
Additional Services
Each project is unique. Some shoots require extra lighting, production support, or location scouting.
For example, photographing a private jet inside a hangar might need eight studio lights—whereas an outdoor shoot wouldn’t.
Your quote includes everything needed for the assignment. If anything additional comes up, we’ll discuss it together.
Liability
If needed, we can arrange Professional Liability Insurance at 10% of the project budget. Otherwise, it’s your responsibility.
Our liability is limited to the amount you paid for the project and doesn’t cover indirect or consequential damages.
Insurance companies charge premium rates for coverage across different regions. Since most clients already have their own insurance, we offer this option to avoid unnecessary duplication and keep costs down.
Payment Terms
We keep it simple:
- 50% non-refundable deposit at booking
- 50% balance upon delivery of the final images
This protects both sides. The deposit covers our pre-committed expenses and risk. The balance ensures you only pay the rest once you’ve received your photos.
Cancellation Policy
If you cancel more than 14 days before the shoot, you forfeit the deposit. If you cancel within 14 days, the full fee applies. If we cancel, you get a full refund.
This structure is fair—it covers our time and prep work while giving you flexibility. We’ve always found ways to accommodate changes when needed, especially if you’re willing to cover any additional costs.
Photo Credit
Please credit “Allure Captures” wherever reasonably possible. If someone else is credited, we’d like to be included too. It’s only fair.
Value Added Tax (VAT)
As a business-to-business provider, we don’t charge VAT. You’ll handle VAT according to your country’s regulations.
Depending on your location, you may reclaim or pay VAT based on the nature of the project.
Co-Sharing License (Optional)
This is one of the best ways to reduce costs while maximizing value. It allows multiple parties—like a Retail Store, Architect, Interior Designer, and Contractor—to share the cost of a shoot by purchasing licenses together, in advance.
Everyone receives the same set of images and usage rights. You, as the main client, decide which images are taken and how the cost is split among the other licensees.
Example Scenario – Retail Store Shoot ($1,000 for 2 images):

How It Works:
- You decide what images should be taken.
- If each party wants something different, you can request a few additional images in advance to meet everyone’s needs.
- We price per image for editing and licensing, so adding a few more is easy and cost-effective.
- One invoice is issued to you, and you handle distribution and communication with the other parties.
What If Someone Wants to Buy Later? If a party didn’t join the original license but wants access to the images afterward, they’ll need to negotiate separately. This is usually at the full rate or an equivalent licensing fee, depending on their intended use.
Co-sharing works best when everyone is onboard from the start—but we’re flexible if someone joins later.
Estimate Validity
Quotes are valid for five calendar days.
Why? Because travel costs and vendor rates can change quickly. We always aim to give you the best value, and five days is a fair window to lock in pricing.
If you need more time, just let us know—we’ll do our best to hold the rate or adjust accordingly.
